Privacy Policy

CompetenCY AI helps learners and educators practise, assess skills, and receive feedback. This policy explains how we handle information when you visit our website, contact us, or use our educational platform.

What we collect and why
We collect account and contact details; information your school or organization provides, such as course memberships; and work you submit, including recordings, written responses, and documents. We also create transcripts, assessments, and feedback, and collect device, browser, IP address, usage, and security information.
We use this information to provide learning features, manage accounts, deliver feedback, answer questions, operate and secure the service, and meet legal and contractual duties. Information needed for an account or activity may be necessary to provide that feature.
How we use AI
AI and transcription providers process the content needed for the feature you use. Original audio and uploaded content may contain personal information; speaker labels and redaction do not make everything anonymous. Avoid uploading unnecessary identifiers or identifiable real-patient information.
We do not use identifiable customer content to train AI models. We require our AI and transcription providers not to train models on customer content. Research, benchmarking, or secondary product improvement using de-identified customer content requires a separate, express opt-in from your institution or, for independent accounts, the account holder where legally valid. Saying no does not prevent ordinary use of the service.
Who can see your information
For school-managed accounts, authorized instructors and teaching assistants can see work in their courses, and institution administrators can see records within their institution. We also use service providers for hosting, AI, transcription, email, and security. Authorized support personnel may access information when needed, and we may disclose information where legally required.
We do not sell personal information, use it for targeted advertising, or publicly publish student submissions. Your institution directs how its education records are used; we manage our own account, support, and business-contact activities.
Storage, security, and deletion
Information may be processed in the United States and other countries, subject to applicable law and agreed restrictions. We use access controls, private storage, and protected connections. No online service is completely secure.
We keep information for the educational service and necessary legal, security, and contractual purposes. Active coursework follows the applicable course or institutional schedule. We normally complete verified deletion requests within 30 calendar days. Removing an item from view is not immediate permanent deletion; backups, provider-held copies, and required records follow separate retention periods, and lawful holds may delay deletion.
Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or export your information, object to or restrict certain uses, withdraw consent, and complain to a privacy regulator. Contact security@joincompetency.ai. For school-controlled records, contact your institution first; we can help route the request. We verify authority, acknowledge requests within two business days, and deliver authorized exports within five business days, with notice of delays. Shorter legal deadlines apply where required.
Age limits and policy changes
CompetenCY is for users aged 13 and older, including school-managed and guest users. Younger users are not permitted. Minors need any authorization required by law. Contact us if you believe we hold information about a child under 13.
We will update the date above and communicate material changes. We will obtain new consent or authorization where required before changing how information may be used.
Optional website analytics
If you allow optional analytics, we use Google Analytics to understand visits to our public website, invitation-button and contact-link clicks, and successful invitation requests. Google processes technical information such as device, browser, IP address, referral source, and a cookie-based identifier to provide these reports. Analytics is optional; you can decline it or change your choice through Analytics preferences.
This marketing tracking runs only on public website pages and the invitation-request page. We do not send the contents of invitation forms, names, email addresses, institutional details, recordings, student work, assessments, or feedback through this integration. Advertising personalization is disabled. Declining analytics does not affect invitation requests or access to the educational service.
